Job Description


The Research Operations Manager will manage a sponsored programs portfolio for the Chair of the Department of Family and Community Medicine and will provide supervision to the Research Coordinators. The ROM will serve as the liaison between the various sponsor agencies, community partners, and institutional department contacts. Management of the grants includes but is not limited to the financial, programmatic, reporting, and compliance management activities.

Job Duties

  • Perform operational and project management activities related to research projects
  • Manage a portfolio of programs for the Department of Family and Community medicine and center for prevention and population health in support of the various clinical, community, education and research missions of the department
  • Serve as a liaison and facilitates initiatives contracts and implementation with partner site executive leadership
  • Stay abreast of sponsor (NIH, SAMHSA, CPRIT) communications and deadlines including continuations and reporting
  • Utilize evaluation data in collaboration with other health disciplines to influence the revision of the patient care plan or program, service lines, and processes
  • Create, analyze, and monitor research project timelines
  • Develop implements and monitor research protocols procedures and processes including Internal Review Board (IRB), consent, and compensation forms protocols
  • Participate in the development of new programmatic grant submissions (pre-award)
  • Develop program material as needed including abstracts, publications, presentations, and marketing materials
  • Monitor research project expenditures; makes recommendations pertaining to work operations and priorities to meet research objectives
  • Monitor post-award grant expenses
  • Ensures the ongoing review and development of process improvements to maximize productivity
  • Lead efforts to produce meaningful quality and timely progress reports to support the research mission of the department and center
  • Leads the implementation and oversees the development of ongoing performance metrics
  • Coordinate and oversee Quality Improvement Plan development, review, revision, and implementation
  • Coordinate and integrate QI plans and processes for individual services
  • Coordinate the process of monitoring, measuring, and assessment of patient care as relates to the research proposal and support of systems to achieve high quality, safe, cost effective services
  • Participate in the development and coordination of data management mechanisms for reporting of program outcomes (EPIC, eCW and redcap)
  • Manage primarily professional level employees, to include defining work responsibilities and priorities, setting performance development plans and goals, and conducting annual performance evaluations
  • Participate in the hiring of research staff
  • Supervise, direct and indirect reports of program staff including training and development
  • Educate staff on regulation changes, and conducts orientation and regular training sessions for clinical and support staff on changes to practices and procedures.
  • Ensure staff adherence to compliance policies and procedures specific to their jobs

Minimum Qualifications

  • Bachelor’s degree in a related field.
  • Four years of relevant experience. 

Preferred Qualifications

  • Master's in Healthcare Administration, Public Health, Business Administration or related degree.
  • Experience with program/project management, grants, personnel supervision, working with under-served, minority populations with an in-depth knowledge of the barriers that affect clinical services, experience with EMR's, red-cap or other data management systems.
  • Experience managing and implementing programs/projects with under-served, minority populations.
  • Track record of maintaining exceptional customer relationships with community stakeholders and providers.
  • Able to effectively navigate external and internal systems and follow-up on progress.
