Advise students, faculty and staff and resolve issues related to student graduation; certify all students that are eligible for graduation at the end of each semester by verifying requirements for conferring of degrees in a timely manner by thoroughly reviewing transcripts, student degree progression in DegreeWorks, and program plans; serve as Graduate School liaison to Academic Systems, the Commencement Office, and the Registrar's Office on all matters related to graduation and student progression; maintain information systems and data integrity related to curriculum tracking and graduation; coordinate the review of all relevant information with departmental advisors, faculty, and department chairs when students apply to graduate.

Job Function:

Minimum Education:

Bachelor's degree or equivalent.

Minimum Experience:

At least two years of related experience.

Preferred Experience:

Two years of experience working at a university or college; professional experience using academic systems like Banner, Argos, Degree Works and other types of software; supervisory experience; knowledge of graduate education and the challenges faced by students in graduate programs; ability to collaborate with other professionals to create, sustain, and modify business practices related to student progression and student success; experience with advising students.

Duties and Responsibilities:

  • Serve in an advising capacity to students who are applying for graduation by providing interpretation of academic regulations and academic requirements for students as they relate to course requirements; and work with departments and program directors to answer policy questions, resolve student issues, and evaluate and improve policies and practices.
  • Verify requirements for the conferral of graduate degrees in a timely manner by thorough review of transcripts, student degree progression in DegreeWorks, and program plans; certify for degree to post at the end of each semester and review and approve dual degree program plans. Establish graduation application deadlines; review applications from certificates, master’s programs, doctoral programs and specialist programs; serve as liaison between departments and students to verify degree requirements. Verify completion of program degree based on requirements on minors, double majors, cognates, and dual degrees. Process graduation applications; check classes and grade point average; transfer classes; revalidate classes. Review, approve and enter transfer course requests, major/minor/concentration requests into Banner.

  • Manage graduation applications in Banner; includes check program coding for accuracy; organize student’s information each semester, which includes degree student is seeking, diploma name, address, and term in which they want to graduate. Cancel student graduation applications that did not meet the requirements of their degree and communicate to students and departments advising them to reapply for graduation.
  • Maintain integrity of information systems related to curriculum tracking and graduation; provide guidance on processes regarding degree, major, minor, and concentration updates to student records; clearly communicate policies, procedures and curriculum changes to students, faculty, and advisors; ensure student credentials are accurately reflected on transcripts and within Banner; oversee crucial functions relating to management of exceptions to degree requirements in DegreeWorks.
  • Develop and deliver training to directors and advisors on how to use DegreeWorks and collaborate with stakeholders on updating processes related to its use, including working with the Registrar’s office to scribe all academic programs in the system; checking the programs for accuracy; and working with program directors to audit and update the way DegreeWorks represents their programs.
  • Review creative projects, research papers, theses, and dissertations for compliance with Graduate School format requirements; provide information to students on proper format.
  • Process 4.0 GPA certificates and mail to recipients at the end of each semester.
  • Compile numerous information reports, including report of doctoral degrees granted for the Survey of Earned Doctorates (NSF) and the titles of research, theses, creative projects, and dissertations to Registrar’s Office for recording on transcripts. Verify grade changes, incompletes, and corrected transcripts.
  • Compile and submit all information on the masters, doctoral and specialist students for the commencement book each semester; proof book before it goes to print; work closely with the Assistant Director of Commencement and University Events on planning each graduation event; determine and advise the Dean regarding correct pronunciation of the names of graduates; and create name cards for doctoral students for commencement ceremony. Work closely with doctoral students and their advisors for graduation and commencement purposes; attend commencement ceremonies each semester and support Commencement Office during each ceremony.
  • Organize all ETD (Electronic Thesis and Dissertation), Final Approval forms, and final projects and send to Bracken Library; act as liaison between library and student when information may be missing from their Research Paper, Creative Project, Thesis or Dissertation.
  • Update all advisor changes (for future, and current) students in Banner and communicate changes with Enrollment unit staff; run reports to audit advisors for degree programs.
  • Coordinate and verify storage of graduation check sheets and graduation communication letters in BDMS.
  • Review and approve re-enroll graduate students in Slate. Review involves analyzing and determining how student can raise GPA and recommending a course of action to the student.
  • Check students’ eligibility for library carrels.
  • Work with registrar and admissions on AMP student curriculum records.
  • Assign and review work, orient and train student employees, and make recommendations as to interviewing and selection, performance appraisal, compensation, and discipline.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
