Job Summary
The Administrative Assistant III serves as the primary administrative support for the Vice President of Enrollment and Student Affairs and the Associate Vice President and Dean of Students: manages complex calendars, sets meetings, handles all administrative work and scheduling for the student conduct process, hiring and personnel action processing in the portfolio of the AVP and Dean of Students, and assists with the planning and implementation of divisional events. This position provides administrative support for units within the portfolio of the AVP and Dean of Students, including the Associate Dean, Student Health Services, Student Counseling and Psychological Services, Student Wellness Programs, and Testing and Disability Services.

Responsibilities
Responsibilities include, but are not limited to: Serve as the administrative assistant for the Vice President of Enrollment and Student Affairs and the Associate Vice President and Dean of Students to manage calendar, meetings, and travel authorizations. Works closely with administrative support staff in the president's Office, Provost's Office, EVP's and VP's on calendaring and approvals (e.g., contracts, routing documents, etc.). Collects paperwork and documentation for the division. Maintains and protects all confidential verbal and written communication. Management of special projects, events, and initiatives, as assigned by the Vice President. Manage the office reception area for the Office of the Vice President of Enrollment and Student Affairs and the AVP and Dean of Students. Supervise the student assistants. Answer telephone calls and greet visitors to the office. Manages equipment inventory and space inventory. In coordination with Business Operations Specialist, handle financial matters including but not limited to PeopleSoft and p-card expenditures, processing of travel requests and reports, and Foundation account expenditures. Provides budget support to offices in the AVP and Dean of Student portfolio including Student Health Services, Student Counseling and Psychological Services, Student Wellness Programs, and Testing and Disability Services including, but not limited to monthly reconciliation and keeping department advised of budget status. Assist and provide administrative and budget support to the Office of the Dean of Students such as expense statements, check requests, personnel hiring/PCF, prepares and processes requisitions and correspondence. Provides training for new administrative staff for the entire division, provides support and acts as point of contact for administrative assistants 1 and 2. Provides support for divisional campus events including Kick-Off, End of Year Celebration, trainings, and other meetings. Perform all other job-related duties as assigned.

Required Qualifications
Bachelor's degree from an accredited college or university in a related field and a minimum of two years progressively responsible experience in administrative support positions OR Associate's degree from an accredited college or university and five years of directly applicable experience OR High School Diploma, GED, or equivalent from a State or Federal accrediting organization and eight years progressively responsible experience in administrative support positions.

Knowledge, Skills, & Abilities
Ability to maintain confidentiality. Excellent interpersonal, written and verbal communication skills. Proficient in Microsoft Office and other computer software/databases. Detail-oriented with strong organizational, prioritization and multi-tasking skills; ability to serve a diverse population of students.

Shift/Salary/Benefits
Shift: Days; Monday - Friday
Pay Grade:13
Salary Minimum: $16.19 - Midpoint: $21.85
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment

Driver's License Statement
The Human Resources Division will request a driver's history report for the identified top candidate(s) for this position. We will initiate this through our Background Check Vendor; this report will come from the Department of Motor Vehicles. The selected candidate must have a valid driver's license.
