Job Description

The ALD Executive Assistant provides administrative support to the directorate`s Deputy Associate Laboratory Director.  Under minimal supervision performs a wide range of administrative activities and tasks. Ensures the smooth flow of incoming and outgoing communications.  Completes administrative activities and tasks in a professional and timely manner.   Addresses matters of a confidential or sensitive nature with discretion. Handles complex assignments using independent judgment facilitating effective and efficient flow and processing of information and work associated with the day-to-day operations as assigned. Arranges and provides support at high-level meetings, conferences, and workshops. As required, interacts directly with high level stake holders.   

Position Requirements

Required Knowledge, Skills and Abilities:

  • Comprehensive knowledge of Argonne business process tools (e.g. Rezdesk, Concur, FAVOR, Dayforce, PARIS, Workday, Xink, etc.)

  • Ability to solve problems independently, evaluate, define and prioritize process improvements, key action items and carry out delegated authority with a minimum amount of instruction and direction

  • Interpersonal and communication skills required to interact effectively, tactfully and discreetly with all internal/external contacts at varying levels of authority to develop and maintain effective working relationships to achieve established goals

  • Organizational skills with attention to detail, ingenuity, and creativity

  • High-Level proficiency with Microsoft Office suite

  • Ability to learn and understand the Laboratory’s administrative processes

  • Considerable skill in managing a highly diversified, administrative workload with numerous conflicting deadlines

  • Skill in anticipating problems and directing or participating in their solution

  • Skill in arranging and determining requirements for meetings, conferences, and workshops

  • Demonstrated ability to handle complex tasks that involve knowledge of the Laboratory

  • Good ability to gather data, consider alternatives and weigh implications and appropriateness of actions to inform decisions

  • Ability to model Argonne’s Core Values: Impact, Safety, Respect, Integrity, and Teamwork

  • High School Degree and at least 10+ years related experience

Desirable:

  • Bachelors Degree and 8+ years of executive level experience or equivalent

  • Experience and knowledge of the PSE Directorate administrative function, policies and procedures

  • Knowledge of office management and practices and database management

  • Willingness to learn new skills and/or business systems as required
