Coastal Carolina University seeks applications for the position of Administrative Assistant for the
Department of Biology.
This position will serve as Administrative Assistant to the Chair of the Department of Biology and helping to oversee and maintain departmental budgets, office management, student enrollment management, personnel and procurement; assist faculty, students, and parents; assist with and monitor all departmental activities. Help advise students as needed in degree programs, university policy, and interactions with other resources on campus.
Duties include, but are not limited to:
· Serves as departmental Administrative Assistant and liaison for BIOL;
· Coordinates and performs fiscal management activities, monitors and maintains departmental budgets and accounting functions; initiates and organizes budget requests; responds to budget audits; monitors and audits SUF, PEG, QEP, and SAF for BIOL.
· Coordinates and performs personnel management activities; interviews, trains, supervises, and mentors student workers and part-time employees; and prepares and oversees all hiring and salary paperwork for departmental personnel.
· Coordinates and performs procurement management activities; coordinates and tracks all departmental purchasing, maintains P-Card, serves as PCard liaison, and oversees purchasing of basic departmental supplies.
· Coordinates and over sees travel activities; coordinates and tracks all departmental grant-related paperwork, oversees and coordinates all field trips, schedules travel and itineraries for invited departmental guests and candidates.
· Assists in planning, developing, and implementing academic advising, registration, orientation, recruitment and retention activities; performs Datatel functions, drop/add, change advisers, change of major/minor, assign advisers, make student folders; and assists with meet-and-greet, career networking events, student research symposium, and other departmental functions as assigned.
· Provides exceptional customer service to all constituents, including but not limited to, faculty, staff, students, visitors and the community at large while handling all constituent needs in a professional, timely and positive manner.
Requirements: A high school diploma or equivalent (GED) and five (5) years of related work experience is required. Equivalent education, training and experience may be considered. A bachelor’s degree and experience in an academic setting is preferred.

Administrative Assistant (AA75/61121501/FTE-S00987P), full-time position with benefits. SC State Pay Band: 04. Salary range: $31,561.00 (minimum) – $44,977.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 am to 5:00 pm, and Friday, 8:00 am to 12:30 pm. Must be flexible to meet the special scheduling needs of the university. Must have flexibility to participate in occasional evening and weekend events.
Required Qualifications
High school diploma or equivalent. Five (5) years of related work experience. Equivalent education, training and experience may be considered.
Preferred Qualifications
Bachelor’s degree and experience in an academic setting.

Knowledge, Skills & Abilities
The employee must have excellent organizational, interpersonal, and communication skills. Strong typing and computer skills are required, including proficiency with various software packages (MS Word and Excel, email, internet, ability to learn ePro and Ellucian programs); must have goodtime management and office management skills and be able to work cooperatively with diverse groups. Must have personnel management skills(will train/supervise multiple part-time and student workers); must be able to maintain and track departmental and grant budgets; must be able to coordinate paperwork for student records, hiring, purchasing, travel and grant transactions. Must be able to communicate effectively and work cooperatively with faculty, staff, students, parents, and the general public.
