College/Department Information

The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

The Clerkship Coordinator works directly for the Director of Pediatric Student Education by providing administrative and supervisory support for all medical student educational activities for the Department of Pediatrics.

Responsibilities

The responsibilities include, but are not limited to:
  • Assist Director of Pediatric Medical Education. Keep the Director informed of all matters regarding student education, junior and senior pediatric clerkship rotations, and advisees.
  • Develop project management tools to support departmental activities, address interdependencies, keep to milestones, and provide progress reports where appropriate.
  • Anticipate program, physician, and patient needs, demonstrating resourcefulness and out of the box thinking. Streamline administrative tasks and activities.
  • Manage the annual sophomore sign-up for rising juniors, lottery availability for pediatric clerkship sites and electives, and communicate with regional campuses and curriculum office.
  • Efficiently manage all scheduling required for large pediatric clerkship including approximately 120-180 students rotating through the Department of Pediatrics program per year. Rotations take place at the practices and at up to 16 regional campuses. Devise and type all schedules by assigning students to the pediatric clerkship sites throughout the state. Schedule appropriate inpatient, outpatient, and nursey experiences. Schedule series and run the academic half day. Work with AHEC to ensure student housing is in place for each site.
  • Correspond with approximately 278 clinical professors throughout clerkship sites across Georgia.
  • Submit updates for pediatric clerkship website. Update and maintain D2L site for pediatric clerkship and electives.
  • Prepare and administer Pediatrics Shelf National Board Exam every six weeks.
  • Organize and administer student evaluation process for pediatric clerkship and electives. Monitor student, patient encounter logs (SPELL). Prepare and distribute student roster. Monitor receipts of faculty and house staff evaluation forms. Submit final grades via One45 and Banner.
  • Coordinate and direct senior elective in Pediatrics. Manage lottery process for scheduling electives. Distribute One45 student evaluations and monitor students' progress to faculty located at AU and at all preceptor sites. Submit grades via One45 and Banner.
  • Coordinate and direct the Pediatric Advisee and Advisor Programs.
  • Coordinate and organize the two annual Pediatric Department awards.
  • Provide administrative support for Pediatric Student Education Committee which includes scheduling meetings, reserving locations, and taking/distributing meeting minutes. Coordinate site visits to locations across state of Georgia.
  • Assess supply needs and purchase supplies via Health eShop. Complete ledgers and transaction logs for review and sign off by department representative monthly.
  • Coordinate and manage the Pediatric Medical Education Library books loaned to students rotating in pediatrics and/or Pediatric Advisee Program.
  • Provide administrative support which includes but is not limited to: typing correspondence, filing, answering telephones, sorting mail, developing and implementing office procedures, designing forms and reports, and establishing and maintaining an organized office record maintenance system.
  • Perform all other job-related duties as assigned.


Required Qualifications

Bachelor's degree from an accredited college or university and a minimum of four years professional or administrative experience to include a minimum of two years of educational program or similar experience.

OR

Associate's degree from an accredited college or university and a minimum of seven years professional or administrative experience to include a minimum of four years educational program or similar experience.

OR

High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and a minimum of ten years professional or administrative experience to include six years' educational program or similar experience.

Detail-oriented with strong organizational, prioritization and multi-tasking skills

Pay Grade: 15

Salary Minimum: $18.71 - $22.91

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
