Provide project leadership and operational management for select outward-focused college initiatives that require strategy, action planning, and implementation oversight, including personnel and budget responsibilities. Serve as a strategic partner, working alongside Dean and Associate Dean, anticipating plans and implementing initiatives including recruitment support for graduate programs: philanthropic support; including maintaining donor contacts, organizing outreach initiatives, leading reports to donors and philanthropic proposals.

Job Function:

Provide project leadership and operational management for select outward-focused college initiatives that require strategy, action planning, and implementation oversight, including personnel and budget responsibilities. Serve as a strategic partner, working alongside Dean and Associate Dean, anticipating plans and implementing initiatives including recruitment support for graduate programs: philanthropic support; including maintaining donor contacts, organizing outreach initiatives, leading reports to donors and philanthropic proposals.

Minimum Education:

Bachelor's degree from an accredited institution by date of employment.

Preferred Education:

Master’s Degree in business, design, communications or related area.

Minimum Experience:

Two years of demonstrated experience managing complex projects. Evidence of increasing responsibility in role(s) over a span of several years.

Preferred Experience:

Five or more years of progressive leadership within project teams, including demonstrated ability to organize and oversee projects, programs and people. Excellent communication skills – written and verbal, including demonstrated ability to initiate and complete a variety of reports and presentations. High tolerance for ambiguity, including anticipating future deadlines and prompting the leadership team and others in the college for designated tasks. Excellent interpersonal and team-building skills. Demonstrated track record of anticipating and organizing projects, databases, teams and events.

Duties and Responsibilities:

  • Project leadership with Dean and Associate Dean, Department Chairs and professional staff on selected projects and reporting in four areas – graduate student recruitment, philanthropic initiatives, alumni engagement, and oversight of community-based initiatives. Develop detailed project plans outlining timelines, staffing, deadlines, deliverables, and other resources required to bring every project to completion on time with exceptional quality, includes generate project reports/analytics for university-mandated reporting, to guide future project planning, and to support asset allocation efforts. This includes tracking schedules/hours worked on select projects, detailed project objectives and project requirements. Work with and supervise the efforts of other staff who support these projects. Manage related budgets. Maintain clear communication channels with faculty, staff, and outside constituents (alumni, donors, community members) on related projects.
  • Graduate Program Recruitment projects: Lead committee of graduate program directors to define annual goals and action plans. Graduate programs include – Architecture, Landscape Architecture, Urban Planning, Historic Preservation, and Interior Design (on-line). Propose and implement initiatives to increase matriculation numbers to defined targets in coordination with Graduate Program Directors and college leadership. Coordinate and schedule recruitment initiatives for the graduate programs in the college. Facilitate communication between college program directors as well as between program directors and other university units involved in graduate student admissions. Provide follow-up correspondence with prospective, visiting students. Provide research and outreach to relevant undergraduate programs while collaborating with program Directors regarding outreach locations and projected outcomes. Provide logistical and demographic data to program directors on these programs. Create event schedules for on and off campus recruiting events. Provide follow-up emails and letters to prospective students. Manage recruiting events as possible with support from program directors. Monitor graduate assistantship allocation to all college programs.
  • Philanthropic support: Support Philanthropic Initiatives in coordination with the Dean and Director of Development related to establishing donor stewardship programs including communication, report writing, and event planning. Work with the Dean in managing alumni outreach and philanthropy including liaison events with alumni groups coordination with the Ball State Foundation, philanthropic event planning, stewardship reports, and support for philanthropy proposals. Serve as a liaison to donors and community partners and provide report documentation for donor-supported college projects.
  • Alumni Engagement: Initiate, plan, organize, and facilitate annual (summer) class reunion events in coordination with the Dean, Associate Dean, Alumni Association and alumni groups.
  • Liaise with University Marketing and Communications to ensure message and communication process alignment for projects in work portfolio; work with dean and faculty in the creation of communications strategies to promote projects; liaise with other University personnel and partners as appropriate.
  • Provide organizational and writing support for outreach communications in project areas to college, university, community, and alumni.
  • Perform other related duties as assigned.
  • Provide oversight and generate reporting of college community engagement projects in liaison with department chairs and professional staff. Gather, record, and share ongoing community-based work done by college faculty and students. Manage, monitor, facilitate, coordinate, assess, develop, and promote faculty-led student projects with community partners.
