Position Description
The Development Associate, Principal and Major Gifts and Grants will join a dynamic fundraising team dedicated to securing philanthropic support for HMS’s mission: To nurture a diverse, inclusive community dedicated to alleviating suffering and improving health and well-being for all through excellence in teaching and learning, discovery and scholarship, and service and leadership.

This full-time, non-exempt position on the Principal and Major Gifts and Grants (PMGG) team is responsible for a wide range of complex and confidential administrative, financial, and clerical tasks in support of the Development Strategy unit and the Board of Fellows. He/she/they will primarily administratively support the Managing Director of Development Strategy and the Senior Director of the Board of Fellows and Volunteer Engagement. Additionally, on an ad hoc basis, he/she/they may support the Associate Director of Prospect Engagement for select events and activities and the Director of Grants and Content Development for select writing projects. The central responsibilities will provide the staff member with a broad view of development and fundraising strategy.

DUTIES AND RESPONSIBILITIES:
  • Working closely with the Managing Director of Development Strategy, manages internal AAD/faculty meeting schedules and agendas; assist with the creation, formatting, and proofing of internal training documents and donor materials; and tracking team metrics toward revenue and engagement goals.
  • Working closely with the Senior Director, provides efficient administration of the Board of Fellows, including scheduling and managing meeting logistics, drafting and editing meeting materials, an e-newsletter and BoF communications, managing the internal BoF membership directory and content site, and project management. Interacts with members and their contacts. Effectively conveys messages and directives on behalf of the Senior Director. Direct responsibility for maintaining the Council membership list, contact information, and biographical updates. Tracks meeting attendance, both responses to meeting invitations and recording meeting attendance. Serves as liaison and point person for coordination with events and communications teams, faculty, administrators, and others involved in executing BoF meetings.
  • Works with the Associate Director of Prospect Engagement for select events and activities, on an ad hoc basis.
  • Works with the Director of Grants and Content Development for select writing projects, on an ad hoc basis.
  • Manages communication, email, phone, and correspondence. Drafts a variety of correspondence, proofreads documents, and provides editorial assistance.
  • Performs basic research queries, runs reports and assists with prospect data entry tasks using the University alumni data system, tracking and recording prospect contact and gift proposals.
  • Plans and coordinates complex travel, meetings, and activities for donor cultivation and solicitation; books travel and prepares itineraries; processes travel and entertainment-related expenses.
  • Prepares briefing materials for the Dean and faculty, which includes establishing internal and external deadlines, collaborating with Development research staff and internal stakeholders, formatting and finalizing drafts, and compiling briefing materials.
  • Works with a high degree of professionalism and discretion, regularly handles sensitive and confidential materials.
  • Manages current paper and electronic working files as well as electronic archive files.
  • Other duties as assigned.
Basic Qualifications
3+ years of related experience in an administrative and/or professional setting. Education beyond high school may count toward experience.
 
Additional Qualifications and Skills
  • Bachelor’s degree preferred.
  • Excellent organizational skills with particular ability to prioritize and handle multiple tasks in a fast-paced, deadline-oriented environment.
  • Excellent written and oral communication skills.
  • Excellent interpersonal and communication skills and ability to develop successful working relationships with diverse members of the HMS community.
  • Must be diplomatic and flexible, proactive, and possess the ability to work independently with minimal supervision. Strong research skills and resourcefulness, as well as strong attention to detail and critical thinking skills.
  • Ability to handle complex and confidential information with discretion.
  • Proficiency in Microsoft Office Suite and facility with learning new technology and software applications.
