Job Description

Job Summary/Basic Function:
The Advising Program Coordinator will coordinate AASC’s advising services and programming initiatives for students seeking terminal associate of arts and associate of science degrees and for those enrolled as non-degree-seeking students. This position will report to and work closely with the Associate Director of Advising, the academic support team, and academic advising staff. This position will actively collaborate with department and university-wide staff supporting recruitment and retention efforts, New Student Orientation advising and registration programming, and departmental operations with special attention to AASC’s website, Social Media, and New Advisor Training. The Advising Program Coordinator will collaborate with various advising and student-support units to help students navigate the transition to college, support academic persistence, and work to ensure academic advising services meet the distinct needs of programs and students.

The position is a 12-month professional staff position. The majority of the work is done on-site with limited work-from- home opportunities.

Department Overview:
The goal of the Advising and Academic Support Center is to help Boise State students become more effective and aware college students by providing quality academic advising and support services. We value a collaborative, student-centered approach that strives to empower all students to advocate for their own learning. AASC general advising and academic support services are available to all students regardless of major status. The position of Advising Program Coordinator will collaborate with various advising and student-support units to help students navigate the transition to college, support academic persistence, and work to ensure academic advising services meet the distinct needs of programs and students.

Level Scope:
Recognized subject matter expert who knows how to apply theory and put it into practice with in-depth understanding of the professional field with limited oversight from managers. Independently performs the full range of responsibilities within the function; requires deep job knowledge of area typically obtained through higher education combined with experience. Manages large projects or processes and problems faced are difficult and often complex; analyzes problems/issues of diverse scope and determines solutions. May manage programs that include formulating strategies and administering policies, processes, and resources; functions with a high degree of autonomy. Influences others regarding policies, practices and procedures.

Essential Functions:
60% of Time the Advising Program Coordinator must:

Provide direct academic advising and academic coaching support to undeclared students, students pursuing a sole associate’s degree, non-degree seeking students, or those exploring majors.
Make appropriate referrals (e.g. academic colleges/programs, career counseling, personal counseling, financial aid)
Use student-success tools and resources, including PeopleSoft, DegreeTracker, Student Success Dashboard, etc.)
Support creation and maintenance of AASC website content.
Provide oversight and leadership to a cross-disciplinary team with the department’s Social Media, responsibilities including but not limited: to strategy and planning, content creation and scheduling, community management, and analytics and reporting.
Maintain departmental correspondence through timely and accurate email communications
35% of Time the Advising Program Coordinator must perform:

Coordination/Assessment and Planning:

In consultation with the Associate Director, coordinate advising and student success
interventions for terminal associate degree-seeking students and non-degree students.
Co-lead advising and registration initiatives for New Student Orientation
programming
Provide oversight in semesterly advising services through case management, tracking
and assessing end-of-term outcomes, providing training and support for advisors,
and collaborating with department coordinators on intraunit student support
practices.
In partnership with AASC staff and campus partners work to develop outreach,
services, and programming for students showing early signs of academic struggle,
and students navigating new academic expectations and the transition to college life.
Utilize electronic resources, including (but not limited to):
Business Intelligence and Reporting Services and Institutional Effectiveness to create useful and accurate reports. Using extensive experience to determine necessary data requests and analysis.
Slate in partnership with Admissions and New Student Programs and campus advising offices.
Salesforce Student Success Hub to strengthen connections and provide equitable support to students, increasing efficiency in workflow practices, outreach, and tracking student progress.
Supervision/training/development:

Supervise and provide ongoing professional development of two Academic Advisors
Provide oversight of scheduling, evaluations, and goal-setting
Manage workflow of assignments
Actively manages the accuracy of content and functionality of the New Advisor Training Course; supports enrollment, communication, and completion, and leads the development of reporting and assessment strategies in support of continuous improvement
Develop and coordinate training and professional development opportunities for faculty and staff (areas to include academic advising, faculty advisor development, academic skill building, at-risk interventions, etc.)
Develop and deliver training and ongoing development to Advisors, Learning Assistants, Peer Advisors and Orientation Leaders
5% of Time the Advising Program Coordinator must perform:
