Serves as Administrative Specialist for the Centers, Institutes, and Athletic Bands in the Edwards College of Humanities and Fine Arts.

Administrative Specialist II (AA50/ 61122182/PCLS 202400143), full-time position with benefits. SC State Pay Band: 03. Salary range: $27,510.00 (minimum) - $39,207.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.


Duties
Duties include, but are not limited to:

1. Provides administrative support for all Centers, Institutes, and Athletic Bands housed in the Edwards College of Humanities and Fine Arts. Serves as backup for the departments if needed. Providing administrative support includes, but is not limited to, scheduling meetings; making room reservations; assisting in planning and organizing special events, conferences, and athletic band rehearsals; processing catering orders; assisting the Center and Institute directors with their schedules and calendars; keeping, filing, and distributing meeting minutes; monitoring paperwork routing to various campus offices. Serves as the liaison to student and faculty in the Centers, Institutes, and the athletic bands and as first point of contact for external visitors.

2. Supports the Center and Institute directors and the Director of Athletic Bands in all fiscal matters and procurement. Monitors the budgets. Assists the directors in budget planning. Provides budget reports and tracks all spending in close cooperation with the Dean, and the College’s Business Manager. Prepares all purchase requisitions, processes and places orders, and plans the ordering of supplies from on-campus and commercial entities.

3. Plans all travel and prepares paperwork for external visitors. Works with the College’s Business Manager to book flights and hotels, assists directors in planning schedules for campus visitors and all communication with external visitors. Monitors and routes all travel authorizations for students, directors, and athletic band staff.

4. Assists the Director of Bands in preparing the paperwork for all temporary band staff and professional service providers. Prepares, monitors, and tracks all paperwork routed for processing to Human Resources.

5. Assists the directors in student worker hiring for the Centers, Institutes, and the Athletic Bands. Recruits and coordinates the student workers’ schedules. Approves student worker hours.



Qualifications
Required: A high school diploma. Related clerical experience may be substituted for a high school diploma.

Preferred: A minimum of two (2) years administrative related work experience.

Knowledge, Skills & Abilities: Ability to communicate effectively in writing and orally. Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals. Ability to deal courteously and effectively with the public in handling inquiries and communicating information. Ability to exercise judgement and discretion in interpreting and applying policies and procedures. Excellent computer skills and knowledge of office software.

Sitting, standing, walking, lifting of small weights. Occasional outside work and the ability to work outside standard working hours.
