The Senior Administrative Support Specialist provides high-level administrative support with significant independence. This role involves a blend of routine and complex tasks, problem-solving, and applying advanced skills to ensure the smooth operation of the department. The ideal candidate will be responsible for word processing, compiling information, managing appointments, and preparing reports while adhering to the organization's values and maintaining a professional attitude

As a successful candidate, you will:

  • Word Processing: Type documents, correspondence, and reports with accuracy and efficiency.
  • Report Compilation: Gather, compile, and organize information for reports and records.
  • Scheduling: Manage appointments, coordinate meetings, and make travel arrangements.
  • Visitor and Call Screening: Screen and manage visitors and telephone calls, directing them to the appropriate contacts.
  • Mail Management: Read, sort, and route incoming mail.
  • Filing: Maintain and organize correspondence and records.
  • Meeting Support: Attend staff meetings, record minutes, and distribute them as necessary.
  • Correspondence: Draft, compose, and route routine correspondence.
  • Confidential Reporting: Prepare confidential and special reports, including periodic statistical reports.
  • Clerical Staff Supervision: Train, guide, and direct the work of clerical staff.
  • Administrative Decisions: Make decisions on minor administrative matters and manage clerical details.

Your qualifications should include:

  • Education: High school diploma or GED required; some vocational or specialized training preferred. Experience may substitute for minimum education requirements.
  • Experience: 3-5 years of responsible secretarial or clerical experience in a professional environment.
  • Communication: Express ideas clearly and constructively, both written and spoken, with individuals and groups.
  • Customer Service: Understand and exceed customer needs, both internal and external.
  • Initiative: Identify and act on opportunities to improve performance; manage time and work effectively.
  • Professionalism: Treat others with respect, adhere to institutional values, and follow the Code of Conduct.
  • Stewardship: Identify efficiencies to reduce redundancy and save costs, resources, and time.
  • Teamwork: Collaborate proactively with others to achieve mutual goals and streamline work processes.

Salary / Pay Rate Information:
Pay Rate: $24.90 - $34.86 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
