Job Description
Support for the Business Manager and Human Resource Officer (HRO):• Serve as a liaison between the Business Manager and CETLOE staff to facilitate the completion of travel authorizations and reimbursement forms.
• Monitor travel expenses and ensure timely processing of travel authorizations and reimbursements.
• Assist the Business Manager with invoice and payment processing in Panthermart.
• Support the HRO with maintaining departmental records, entering HR transactions, updating the HR site, and creating training materials, documents, spreadsheets and presentations.
• Coordinate the onboarding process for new staff, including setting up phone services, ordering business cards, and providing a tour of the Center.
• Assist remote hires with setting up necessary equipment and providing relevant form
• Assist with the logistical coordination of CETLOE events, including space reservations, parking, technology coordination, and meal planning.
• Prepare and transport materials for events, such as books, folders, handouts, and nametags.
• Schedule, attend, and manage notes for CETLOE all-staff and director team meetings.

Qualifications:
Minimum Hiring Qualifications:
Bachelor's degree and two years of related experience; or a high school diploma or GED and six years of related experience; or a combination of education and related experience.
Preferred Hiring Qualifications:
Bachelor’s degree in business administration, management, communications, or a related field.
• Experience as an administrative or executive assistant, preferably in a higher education setting.
• Strong interpersonal skills to interact effectively with faculty, staff, and students.
• Experience in managing complex calendars, travel arrangements, and event planning.
• Familiarity with university policies, procedures, and administrative systems.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Excellent written and verbal communication skills.
• Strong organizational and time-management skills.
• Ability to multitask and prioritize tasks efficiently.
• Attention to detail and accuracy in all tasks.
• Ability to work collaboratively with diverse teams.
• Experience in supervising and mentoring junior staff or student assistants.
