Job SummaryThe College of Arts, Sciences, and Letters seeks an energetic and innovative Department Administrator (Administrative Specialist) for the Department of Mathematics and Statistics and the Women?s and Gender Studies (WGST) Program. This leadership role is responsible for all financial and administrative work in the department, delegating as necessary, and requires demonstrated project management and strong organizational skills.
The University of Michigan-Dearborn (UM-Dearborn) is one of the three campuses of the University of Michigan. UM-Dearborn, a comprehensive university offering high quality undergraduate, graduate, professional and continuing education to residents of southeastern Michigan, and attracts approximately 8,300 students. The department consists of approximately 18 tenure-stream faculty, 19 LEO lecturer faculty, 2 full-time staff, 64 undergraduate majors, and 7 graduate students.
Responsibilities*
This position is responsible for all financial, administrative, human resource, and academic work performed in the Department of Mathematics and Statistics including:
Provide administrative, operational, and strategic support to the Department Chair and WGST Program Director including the collection, compilation, analysis, and reporting of financial information, grants, contracts, and ad hoc reports requested by the College.
Ensure the orderly operation of the department office with adherence to departmental, college, and university policies and procedures related to financial, human resources, and general administrative functions.
Review department expenditures, payroll registers, and budget charges; prepare annual budget plan, including line request data.
Supervise, mentor, and evaluate performance of one full-time staff member and part time student assistants.
Support the Department Chair with annual review of faculty, promotion and tenure cases, department annual report, data collection and utilization analysis.
Oversee faculty searches, special programs, conferences, speakers and/or workshops.
Act as a liaison to faculty, staff, students, alumni, and the general public concerning inquiries, comments or complaints requiring interpretation of policy or procedure.
Complete department?s annual year-end space survey, budget, and annual report.
Oversee preparation/processing of leaves of absence and sabbaticals, hiring, orientation, and offboarding for faculty and staff.
Oversee maintenance of records necessary to ensure adherence to union contract requirements (e.g. UM/LEO collective bargaining agreement), college, and university policies.
Oversee the collection and maintenance of official department records and policies including tracking faculty appointments and released time.
Perform additional duties as assigned.
Required Qualifications*
At least 6 years of administrative support experience or Associate Degree with at least 4 years of administrative support experience or a bachelor?s with at least 2 years of administrative support experience
Demonstrated high level of accuracy and attention to detail.
High level of proficiency with Microsoft Excel and Word.
Excellent written and verbal communication and customer service skills.
Unimpeachable level of confidentiality and professional conduct.
Demonstrated ability to work collaboratively and communicate well with others.
Adaptability, flexibility, and an acceptance of change.
Excellent organizational skills and the ability to multitask and anticipate needs, set priorities, be proactive, respond quickly, and think creatively while operating in a flexible and professional manner.
Desired Qualifications*
Preferred bachelor?s degree in business, public administration, accounting, human resources, management, or closely related field.
At least 2-3 years of higher education administrative department experience.
Knowledge of University of Michigan policies and procedures.
Experience in grants management, all phases.
Experience using M-Pathways, Interfolio, Chrome River, Banner, Marketsite, purchase cards, and DropBox.
Supervisory experience; coaching, mentoring, and evaluating staff.
