Job Summary
This position will serve as the board professional for the Augusta University Foundation and Augusta University Real Estate Foundation and all subsidiaries of each entity. The position serves as the staff support to the Chair and the Secretary of the Board of Trustees and is responsible for the management of all Foundation-related Board of Trustees workflow and official documents of the Board and Foundations. This position will also provide a high level of support for the Vice President and CEO of Foundations. This is a highly responsible position, dealing with confidential and sensitive information, while exercising considerable initiative, independent judgment and discretion. While interfacing with many campus constituents, to include senior leadership, this individual will also work with many external constituents ' including but not limited to Foundation board members, donors, volunteers, etc. The Foundation Board Liaison & Administrative Assistant will provide strategic support for the boards of trustees and requires the ability to respond quickly and with good judgment in a fast-paced environment. This position manages the execution of board/trustee meetings and logistics and events in which board members participate and ensures that every board and committee meeting is conducted in an organized and seamless manner. This position supports all administrative activities of the Foundations Office, all Foundation related events and special assignments as requested or needed.
Responsibilities
Responsibilities include, but are not limited to:
ADMINISTRATIVE MANAGEMENT: Coordinates and streamlines activities and strategic planning support based on the priorities of the Board Chair, Officers of the Board, Vice President and CEO for Foundations and the President of Augusta University. Called upon by executives to handle exclusive duties. Coordinates and provides administrative and technical support to the VP/CEO; and when appropriate, the staff of the Foundations Office. Schedules meetings and various appointments, manages calendar, maximizes the time of the VP/CEO. Coordinates travel arrangements and processes reimbursements and invoices for VP/CEO. Plans, manages and maintains detailed records and documentation of special projects and submits regular progress reports as assigned by VP/CEO.
GENERAL DUTIES: Serves as the staff support to the Chair and Secretary of the Board and along with the VP/CEO, manages the board and committee workflow. Responsible for strategic planning support, meeting communications and supporting materials. Plans, coordinates and executes board and committee meetings. Coordinates follow up communications or tasks regarding actions taken by the boards or committees. Represents the boards and committees across the enterprise at various meeting and events and serves as a point of contact for board engagement and giving throughout the enterprise.
COMMUNICATIONS AND DOCUMENT MANAGEMENT: Maintains the official documents for the boards and committees. Oversees and manages the preparation and timely distribution of communications for the boards, including agendas, minutes, bylaws, policies, conflict of interest disclosures, confidentiality statements, memos, plans, presentations, orientation packages, phone calls, emails and other materials in support of board and committee work and strategic goals. Draft and compose correspondence and reports; review reports for the VP/CEO and others as necessary. Prepares routine and complex correspondence including but not limited to letters, memoranda, reports, financial spreadsheets and PowerPoint presentations.
ADMINISTRATIVE SUPPORT: Manages various functions in order to increase the time the VP/CEO has available for executive level responsibilities including but not limited to 1) Being responsible for and empowered to use resources available to address a variety of complex and confidential situations in a timely manner. 2) Using a comprehensive knowledge of the structure and nature of institutional units, various boards, and donor relations, the incumbent will respond to inquiries and refer situations to the appropriate staff member or unit for expedient, confidential handling. 3) Responds effectively and confidentially to sensitive inquiries and requests from both internal and external constituents.
STAFF LIAISON: Serves as a staff liaison for current and former board members and as a point of contact for trustees. Assists board members with requests and objectives across the enterprise. Assists leadership with regular updates and communications to the boards and committees. Acts as primary staff contact for board and committee chairs and communicates meeting guidelines and protocol for the planning of board and committee meetings. Assists with relationship development associated with the boards, philanthropy officers and the President's Office. Maintain complex, confidential, administrative, fiscal, Foundation Office records system in the proper manner. Assist in the development of policies and procedures and processes for Foundations and be a communicator for them as requested.
OTHER DUTIES: Attends and supports events and meetings as assigned where trustees, major donors and senior leadership are present, and perform all other job-related duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university in a related field with a minimum of five years of professional experience in administrative activities, event planning, board management/governance, non-profit organization or similar relevant experience.
OR
Associate's degree from an accredited college or university in a related field with a minimum of seven years of progressively responsible experience in administrative support/coordination positions.
Preferred Qualifications
Master's degree from an accredited college or university in a related field with direct experience related to the management of a board and/or corporate governance matters. Donor, volunteer and/or board relationship management experience. Strong attention to detail and demonstrated ability to manage multiple projects and deadlines. Demonstrated analytical, organizational and project management skills. Ability to work collaboratively to accomplish objectives. Effective interpersonal skills and demonstrated ability to work well with a team. Ability to take initiative, prioritize and complete work with minimal supervision.

Pay Band: B12
Salary Minimum: $62,300 - Midpoint: $79,400
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
