The Administrative Support role provides essential support to the department by managing telephone and visitor interactions, handling correspondence, maintaining department files, ensuring office supplies are well-stocked, and procuring Pathology materials for diagnostic confirmation. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently
As a successful candidate, you will:
- Telephone and Visitor Management:
- Answer telephones promptly and professionally, screen and route calls to the appropriate staff members.
- Take and relay messages accurately, ensuring that all communications are documented and delivered to the right personnel.
- Provide routine information to callers and visitors and refer more complex inquiries to the appropriate staff member for further assistance.
- Correspondence Management:
- Manage incoming and outgoing correspondence, ensuring timely responses and accurate communication.
- Route correspondence as directed, keeping track of important communications, and ensuring follow-up as needed.
- Draft, format, and proofread documents and communications to ensure clarity and professionalism.
- File Management:
- Establish and maintain an organized and efficient filing system for the department.
- Ensure that all documentation is up-to-date, correctly labeled, and easily accessible for staff.
- Perform regular audits of files to ensure compliance with departmental standards and procedures.
- Office Supply Management:
- Monitor and manage inventory levels of office supplies, ensuring that the department is always well-stocked with necessary materials.
- Place orders for office supplies as needed, staying within budgetary constraints and ensuring timely delivery.
- Coordinate with vendors to resolve any issues related to orders or deliveries.
- Pathology Material Procurement:
- Procure Pathology materials required for the confirmation of diagnoses, coordinating with relevant departments and medical professionals.
- Ensure that all materials are obtained in a timely manner and meet the necessary standards for diagnostic purposes.
- Maintain accurate records of Pathology material procurement and liaise with Pathology teams to ensure seamless communication and workflow.
Your qualifications should include:
- High school diploma or equivalent; additional administrative training or certification is a plus.
- Proven experience in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Attention to detail and a high level of accuracy in work.
- Ability to work independently and as part of a team.

Salary / Pay Rate Information:
Pay Rate: $24.18 - $33.86 / hour
The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
