College/Department Information
The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.
Job Summary
Manage and oversee the functions for all dental residency and fellowship programs (currently 8 residency programs and one fellowship program) in conjunction with the Advanced Education Committee Chair. To include admissions, HR processing, Advanced Ed orientation, Employee Health scheduling, registration, program evaluation, Duty Hour management, core course management, accreditation, policy management, IT security system authorizer, graduation/certificate processing, and annual coordination of resident recognition dinner.
Responsibilities
The duties include, but are not limited to:
ADMISSIONS MANAGEMENT: Administration, management, and direction of procedures for the post-first professional programs; maintain knowledge of the policies and procedures, which include some familiarity of other departments within DCG; maintain knowledge of PASS WebAdmit admissions processes, GME, etc.; sensitive to the interrelationship of both people and functions within the department; work with department administration to manage procedures that require proper processing through departmental support levels; ensure that timekeeping is being done by residents in all correlating systems, oversee tracking resident leave.
RESIDENCY AND FELLOWSHIP PROGRAM ADMINISTRATION: Management, and organization of recruitment timelines and processes for the residency programs; and responsible for oversight of communication and timelines with the departments for resident admission. Management of program completion including but not limited to graduation applications, and out processing. Management of events surrounding orientation and program completion.
PROGRAM ADMINISTRATIVE ASISSTANTS COORDINATION: Management of program administrative assistants responsible for ensuring deadlines are met; provide guidance and training, serve as a backup for the position duties if needed; report any major issues to designated Associate Dean of Academic Affairs & Advanced Education.
ADVANCED EDUCATION PROGRAM SUPPORT: Administration support for Advanced Education program meetings, prioritize program-related tasks; ensure the Program Director is aware of important deadlines related to the program activities; could include composing draft correspondence/reports, creating/maintaining manuals and a website, serve as liaison between the Program Director and institutional personnel.
ASSIST OTHER DIVISIONS: Aid the Office of Assessment & Compliance in the tracking and organizing of the programs within the guidelines of accreditation include but are not limited to: the organization of exhibits and appendices, completing surveys/reports, and maintaining a schedule to ensure due dates are met. Assist the Office of Academic Affairs and Advanced Education as needed.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university with seven years of experience in a university setting.
OR
Bachelor's degree from an accredited college or university with three years of experience in a university setting.

KNOWLEDGE
Proficiency with Windows operating system and Microsoft Office components (Word, Excel, PowerPoint, and Publisher)
Proficiency with Banner and Crystal Reports
SKILLS

Proven organizational skills and attention to detail

ABILITIES
Ability to quickly learn additional software including, but are not limited to One 45, OU Campus, PeopleSoft HRMS and PeopleSoft Financials
The ability to perform well under pressure and meet deadlines
The ability to proofread various types of documents (ie, accreditation, applications, loan deferments, etc.) to verify accuracy and completeness
The ability to remain calm in stressful situations
Shift/Salary/Benefits
Shift: Days/M-F (Work outside of normal business hours may be required)
Pay Band: B9
Salary: Minimum $ 48,800/annual
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum midpoint) of the position.
