Summary
The Pathology and Immunology department is seeking a dedicated Coordinator, Program Management for the Chief of Pathology Services at Ben Taub Hospital, focused on administrative tasks for Graduate Medical Education (GME). This role involves assisting with departmental operations, facilitating communication, and ensuring efficient workflow in pathology services, while also managing GME administrative responsibilities. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work collaboratively in a dynamic healthcare environment. Job Duties
- Enters and maintains all fellow and resident duty/call schedules in MedHub.
- Addresses/formats, prints, and mails all letters of recommendation for fellows and residents, including but not limited to letters for fellowship applications.
- Handles fellow and resident elective applications, including but not limited to submitting applications (electronically or other) to outside institutions and making sure all required PLAs are in place and current.
- Submits Milestone fellow and resident evaluations to the ACGME semi-annually as applicable.
- Establishes and maintains trainee records.
- Receives and responds to all requests for information regarding the fellowship and residency program.
- Assists with fellow and residency candidate recruitment and interview process, including scheduling interviews and making travel arrangements for candidates.
- Assists with onboarding new trainees.
- Assists with fellow and resident accreditation as applicable.
- Assists with preparations for the annual Research Symposium, Education Retreat, and Graduation Ceremony.
- Provides administrative support for the program director or other faculty including maintaining calendars, scheduling meetings, ordering supplies, preparing correspondence, answering phones, or greeting visitors.
- Uploads and maintains BT service schedule in QGENDA and paper form.
- Manages the daily/weekly/monthly chief schedule and arrange new meetings and appointments.
- Prepares and disseminates some correspondence, memos, and forms.
- Serves as timekeeper for tracking and keeping faculty vacation, CME, and sick leave.
- Updates the contact information of BT faculty.
- Assists the chief for business travel arrangements.
- Assists for BT faculty candidate interview and prepare the office for any new faculty.
- Arranges the department's monthly meetings including catering.
- Undertakes occasional receptionist duties during holidays.
- Works with HH lab assistant for the joint ventures.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
