Job Summary
This position is responsible for overseeing all day-to-day Human Resources (HR) operations and tasks for twenty departments within the division of Enrollment & Student Affairs. Position will support all departments in the division which includes but is not limited to: performing HR functions (ePars; job openings; termination process; hiring/recruitment process); ensuring compliance with institutional HR policies and procedures and creating efficiencies within the division; provide training and guidance on HR processes to administrative support staff and division leadership; coordinate the divisional student employment process; creates/runs HR reports; tracks the progress of pending and ongoing searches, provides updates to leadership on the status of recruitment on vacancies ; leverages resources to adequately solicit interest, identify candidates, and helps the hiring managers with the interview and selection process within the hiring process; serves as the POC HR liaison with the AU Human Resources Business Partner; provides observations/concerns if or when applicable to the Director, ESA Business Operations. Must demonstrate initiative, resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying structure of the division in organizing and independently prioritizing work, working with the Director, ESA Business Operations in establishing procedures and systems, and ensuring overly and timely workflow.
Responsibilities
Responsibilities include, but are not limited to:
ADMINISTRATIVE HR FUNCTIONS: Prepare necessary paperwork to create or update staff positions within division. Create job postings for staff positions in OneUSG and student positions in Handshake. Manage job postings within OneUSG; review submitted resumes/CVs; assist administrative support staff or create candidate itineraries (coordinate visit date(s); review interview evaluations for staff; create interview schedules and update necessary forms to OneUSG; and place the final candidate into offer. Perform all HR related functions for multiple divisions to include recruitment, training, provide guidance on the student hiring process; and run HR reports as needed for leadership. Review and resolve routine administrative related questions and issues and provide input regarding new or revised administrative procedures. Provide staff direction and guidance on department policies, procedures, and tasks.
STUDENT EMPLOYMENT: Responsible for student hire process for the Division of the Enrollment & Student Affairs. Helps and assists supervisors with Federal Work Study (FWS) Student Hire process, and coordinates with the FWS point of contact in the Office of Student Financial Aid, ensuring FWS student eligibility. Also works with Career Services, and Handshake, where student positions are posted, guiding supervisors through the process of posting and hiring student positions, and attends the Student Employment Fair hosted by Career Services.
HR FINANCIAL TASKS: Helps with HR memo's for increased salary changes and extra duty pay; enters appropriate ePARs for salary changes, FTE changes, distribution changes, extra duty pay, FMLA, leave without pay, PCF updates; etc. Prepares necessary invoices and check requests for onboarding and moving expenses for new staff members within division. Tracks salary offers and salary savings among the division hires.
OPERATIONAL: Work with the AVP, ESA Business Operations and Business Manager on ensuring department policies, procedures, and operations meet compliance and efficiency. Oversee the annual space inventory for assigned departments. Work with administrative support staff regarding space issues for new staff as needed.
TRAINING/GUIDANCE: Provide training on HR processes to administrative support staff and leadership: Hiring process; Updating PCFs; termination process; performance evaluations process; leaves of absences, among other HR processes.
OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university in Business Administration or a related discipline and one (1) year administrative and/or management experience;
OR
Associate's degree from an accredited college or university and two (2) years of relevant experience;
OR
High School diploma, GED, or equivalent from a recognized State or Federal accrediting organization and three (3) years administrative and fiscal management experience.
Preferred Qualifications
Experience in Higher Education administrative environment.
Demonstrated proficiency with Microsoft Office and Office 365 applications (e.g., SharePoint, Word, Excel, PowerPoint, Outlook, Box, Forms, etc.), OneDrive, Adobe, etc.
Experience with or the ability to quickly learn the organization's HRIS and talent management systems (OneUSG).
Knowledge, Skills, & Abilities
KNOWLEDGE
General knowledge of principles and practices of human resources management.
SKILLS
Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills and strong organizational skills are required.
Must be proficient in Microsoft Office (Word, Excel, etc.) and competent in spreadsheet and database management software packages as well.
Excellent attention to detail with strong organizational and critical thinking skills.
ABILITIES
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent decisions.
Must be able to work efficiently in a fast-paced environment.
Technologically savvy, and can develop innovative methods of streamlining processes.
Shift/Salary/Benefits
Pay Band: B10
Salary: $52,500/annually - $57,500/annually
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
