Summary
The Huffington Department of Education, Innovation, and Technology is seeking an energetic, self-starting Coordinator of Program Management to provide advanced administrative support for its operations and the team.
The Huffington Department of EIT supports education—one of Baylor College of Medicine's mission areas—as a discipline at the college, with an academic focus on the science of teaching and learning. Members of the department contribute to a growing body of specialized knowledge related to how people learn and effective educational practices. The Coordinator of Program Management will report to the Administrator of the Department of Education Innovation and Technology and will office at the McGovern campus.
This is a grant funded position through March 2026, with possibility to extend depended upon additional funding.
Job Duties
• Assists with the trainee recruitment and interview process, including scheduling interviews and making travel arrangements for candidates.
• Assists with onboarding new trainees.
• Receives and respond to all requests for information regarding program(s).
• Participates in planning and developing methods for program implementation and administration.
• Schedules or coordinates lectures, evaluations, meetings, rounds, exams, seminars, training rotations, electives or special electives, duty/call schedules, ceremonies, or events.
• Establishes and maintains trainee records.
• Creates, monitors, and tracks documentation of training and educational activities, including but not limited to, communications with event and workshop participants; may assist with grade or evaluation submission.
• May assist with trainee accreditation.
• Provides administrative support for the program director or other faculty, including maintaining calendars, scheduling meetings, ordering supplies, preparing correspondence, answering phones, or greeting visitors.
o Processes requests in Concur and SAP related to travel (trip requests and reimbursements), expense reconciliations and reimbursements for faculty and staff. Tracks through completion of request.
o Place supplies and event orders to support programs and projects in the Department.
o Processes payments as assigned, including but not limited to: stipends, vendor invoices, honorariums and supplemental pay.
o Submits new vendors and Independent Contract Agreements (ICA) requests, follow-up on process through completion.
• Enters prepared surveys online for data collection.
• Assists with data entry from project evaluations, scans documents/ scantron forms.
• Assists in creating educational materials.
• Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Bachelor's degree in a related field (education, health or science) is preferred.
- Experience coordinating training and/workshops in educational or training environments.
- Strong background and experience in managing faculty calendars.
- Attentive to detail, centered, complete and precise.
- Experience with Microsoft Outlook, Adobe Acrobat, Planner, PowerPoint, Excel, Teams and Zoom.
- Ability to learn new technologies easily.
- Excellent written and verbal communication skills.
- Strong ability to work both independently and with a team.
- Demonstrated ability to coordinate multiple projects positively with creativity and professionalism.
