College/Department Information
ROTC, Reserve Officer's Training Corps, is a program of military instruction that takes place on 270 college and university campuses nation-wide. The origin of Military Instruction in Civilian colleges dates back to 1819.
Army ROTC is one of the best leadership courses in the country and is part of your college curriculum. During classes and field training, you will learn first-hand what it takes to lead others, motivate groups and how to conduct missions as an Officer in the Army. Job Summary
The Administrative Assistant is a dynamic and highly organized professional responsible for facilitating communication and collaboration between the university and external stakeholders, including faculty, staff, students, industry partners, and alumni. This position serves as a key point of contact for the executive leadership team, providing administrative support, project coordination, and relationship management to ensure the efficient and effective functioning of the department.
The ideal candidate will possess strong interpersonal skills, an understanding of the academic and higher education environment, and the ability to manage complex administrative tasks. This role combines strategic communication, event coordination, and executive assistance to support the university's goals and priorities.
Responsibilities
The duties include, but are not limited to:
UNIVERSITY LIASON: Serve as the primary point of contact between the executive leadership team and university departments, external organizations, and stakeholders. Perform related duties as assigned to support the mission of the University. Perform duties and responsibilities with or without reasonable accommodation. Schedule meetings, training sessions, and other events by using internal systems. Monitor office supplies and publications to ensure an adequate quantity of materials is available. Serve as the primary point of contact for the department head or supervisor. Create correspondence and generate reports. Coordinate meetings, and record and distribute meeting reports. Maintain appointment schedules and public relations activities. Prepare detailed briefing materials and background information for meetings, reports, inquiries, agendas, and presentations.
BUDGET MANAGEMENT: Maintain detailed record keeping for purchasing activity. Monitor/reconcile accounts and process billing; prepare monthly spend reports for department managers and cross-check transactions; and assist with budget management. Assist department managers in procuring goods and services by creating and submitting electronic requisitions in eProcurement. Assist with the procurement of items for the department.
ADMINISTRATIVE DUTIES: Assist in the development, evaluation, and implementation of office procedures. Responsible for the timely processing of personnel paperwork for staff and faculty positions. Initiates all personnel actions including ePARs, faculty employment requests, etc. Performs critical assessment of office operations to ensure efficiency. Develops procedures for administrative improvements within the department. Trains staff in policies and procedures to ensure compliance. Assist with planning and implementation of internal and external events for the department. Provide information on departmental functions, events, policies, and procedures to individuals and groups. Respond to inquiries and concerns from callers and visitors and resolve routine and complex matters. Manage department Alumnae mailing list and bi-annual newsletter. Process travel requests, registration, and logistical arrangements.
OTHER: Perform other duties as assigned.
Required Qualifications
Associates degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions
OR
High School diploma, GED or equivalent from a recognized State or Federal accrediting organization and seven years' progressively responsible experience in administrative support positions.
Preferred Qualifications
Administrative office support experience in an academic setting, Proficient with Adobe Acrobat and Microsoft Word applications
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint) and other computer software/databases
SKILLS
Time Management; handling multiple responsibilities simultaneously while maintaining attention to detail and deadlines
Detail-oriented with strong prioritization and organizational skills

Pay Grade: B5
Salary: $17.88/hourly - $19.07/hourly
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
