Research aims to advance knowledge that addresses the cultural, economic, health and societal needs of the communities we serve through research, scholarship and creativity.
Job Summary
This individual will assist the Director of Research Facilities with the management of the individual research core labs and services, which are under the direction of individual core lab scientific directors and managers, the completion of yearly reviews and oversight for the management of the core staff, and oversight for core billing and account management. Assist with preparing financial and administrative reports regarding current cores as well as providing recommendations for new and retiring cores. Responsible for compiling, tracking, documenting, assessing, auditing, analyzing and reporting of current and future physical space needs for research based on strategic long-term planning of the university and individual departments. The responsibilities of this position utilize quantitative and qualitative assessment tools to conduct space data collection and compilation, validation and analysis using the Archibus Space Data system and require integration of data from multiple sources. The work of this position requires maintaining data at a high level of accuracy and includes significant effort related to field-verifying university research space on all campuses.
Responsibilities
The duties include, but are not limited to:
Reviews incoming Research Space Requests, communicates with departments initiating Space Requests to determine needs, field-verifies space including collecting information regarding specific attributes, revise Archibus based on changes/additions to Research space. Performs data analysis and interpretation to form a basis for recommendations related to resolution of Space needs and frequently updates the Archibus database. Utilizes sound quality control measures to ensure data is accurate. Assist Director, Research Facilities in preparing documents required for Research Space Subcommittee and Research Space Advisory Committee. Utilizes Facilities Inventory and Classification Manual (FICM) guidelines to assign appropriate coding of space based on function. Follows set policy and procedure to change space allocation correctly in Archibus as approved by the Research Space Subcommittee and the SVP Research. Assists in communication to Stakeholders of changes. Provide information regarding square footage and measurements, or any other assistance, on request as needed for Director, Research Facilities, Facilities Planning. Design & Construction, as it relates to research space or other interested parties. Review research space throughout all AU campuses to obtain needed information.
Assist with annual space density reporting for all Research wet lab space on all AU campuses including training and interaction with campus constituents on how to accurately complete and submit survey data. Participates in Research Space Management projects as directed. Ensure reports and responses are accurate and meet associated deadlines. Assist with developing space and Core related reports.
Assist the Director, Research Facilities with management of Core Labs. Assist the Director of Research Facilities with the management of the individual research core labs and services, which are under the direction of individual core lab scientific directors and managers, the completion of yearly reviews and oversight for the management of the core staff, and oversight for core billing and account management. Assist with preparing financial and administrative reports regarding current cores as well as providing recommendations for new and retiring cores. This includes but is not limited to preparing documents for Core Director/Manager meetings every other month, Core Lab Annual Budget meetings. Assist in educating the AU community and others regarding the services the core provides and will support marketing of these services/ testing, including assistance with the annual Core Fair.
Review requests for new equipment, renovations, or relocations. Assist with the billing processes for the cores, including day-to-day oversight of iLab activities for Research Cores. Maintain records that log, track and report the status of outstanding agreements. Assist in identifying reasons for lost revenue, and applying corrective actions, so that lost service to outside vendors could be recouped by AU Core Labs and Shared Research Services. This individual will be critical to work with cores to achieve recommendations made by AU's Internal Audit report on the AU Core labs. Work with Lab Animal Services regarding vivarium space.
Perform other related duties as assigned.
Required Qualifications
Bachelor's degree in business administration or other related field with two years' experience in data management and budget. Experience as lab manager/director, and/or Core Lab experience can be used as alternative experience.
Preferred Qualifications
Experience in University Research or Facilities environment. Experience conducting wet bench laboratory research.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to maintain confidentiality.
Shift/Salary/Benefits
Shift: Days; Monday - Friday (Work outside of normal business hours may be required).
Salary Range: $52,500-$65,600 annually.
Pay Band: B10
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
