Job Description

JOB SUMMARY:
The Senior Admissions & Recruitment Coordinator for the UT Tyler School of Medicine (SOM) is
responsible for overseeing the processes of recruitment, reviewing applications from the Texas Medical
& Dental Schools Application Services (TMDSAS), interview evaluation and assessment of application
competencies for entry to the Medical Doctor (M.D.) program for the SOM. The position manages the
SOM Student Ambassador program and prospective student events. The Senior Coordinator provides
administrative support functions essential to the operations of the SOM’s Office of Admissions and the
Admissions Committee.

MAJOR RESPONSIBILITIES / DUTIES / CRITICAL TASKS:

Admissions

Manages the SOM Student Ambassador Program.
Manages all prospective student events.
Serves as point person for potential applicants providing counsel and advisement on admissions process and requirements for SOM.
Reviews prospective students' transcripts, identifies academic gaps, and provides guidance on necessary steps to address them.
Provide contact with applicants who call, email, and/or come to the SOM’s Office of Admissions seeking assistance and triage applicant requests to appropriate resources.
Manages and overseeing the processing of more than 6,000 applications from the Texas Medical & Dental Schools Application Services (TMDSAS).
Assists with the preliminary screening of applications to determine the applicants who will undergo further review for interview eligibility.
Overseas and coordinates schedules for student interviews, tours, activities, interviews, SOM information, and meals. Work closely with medical staff, students, and other members of the
SOM community to ensure prospective applicants’ needs are met and questions are answered.
Assists with designing and evaluating survey materials for applicants, accepted students, interviewees, etc.
Assists in analyzing and distilling data from surveys to inform the mission-aligned holistic admissions process.
Manages, monitors, and maintains SOM student applicates files for changes and completion.
Updates applicants’ records in database with any new information from applicants.
Seeks approval and documents application fee waivers, course and policy exceptions, requested accommodations, any unique dispensations involved in an applicant’s candidacy, and communicates exceptions/accommodations to Associate Dean and Director of SOM Admissions.
Works with Associate Dean and Director of SOM Admissions with evaluative metrics and research projects focusing on holistic review, mission-driven admissions, and access/inequality in medical education.
Interprets admissions, SOM, Campus and University policies, regulations, and rules insofar as they affect the admissions process.
Recruitment

Serves as the representative of SOM at regional and national admissions fairs sponsored by the Association of American Medical Colleges (AAMC) and/or School of Medicine to support the recruitment of highly qualified mission-aligned applicants.
Serves as the representative of SOM at recruiting activities locally, which include but are not limited to presentations, recruiting events, second look day, and orientation.
Serves as the representative of SOM at Recruitment Weeks in South Texas and DFW areas.
Provides outreach and function as a liaison to premedical advisors at various colleges and universities to ensure they are updated on admissions standards, requirements and pathway opportunities.
Coordinates Pre-Medical Advisors/Student Organizations to schedule visits and facilitates and presents to Pre-Medical/Health students.
Manages on-campus activities with Pre-Medical/Health programs.
Manages other prospective student events throughout the year.
Participates in special projects and performs other duties as assigned.

Ability to work flexible hours, including evenings and weekends as necessary.
Qualifications

REQUIRED EDUCATION / EXPERIENCE:

Bachelor’s degree required. Master’s degree preferred.
Five (5) years of related experience required.
Minimum of (2) two years of experience in higher education enrollment management or student affairs preferred.
Experience in medical education is preferred.
A combination of education and experience may be considered.
