College/Department Information
Training Future Leaders in Anesthesiology & Perioperative Patient Care. In our long history as an academic anesthesia department, The Medical College of Georgia's Department of Anesthesiology and Perioperative Medicine has established clerkships, a pain fellowship, and an anesthesiology critical care fellowship. A joint emergency medicine/anesthesiology critical care fellowship started in 2019, and we welcomed our first pediatric anesthesiology fellow in 2020. Our anesthesiology residency program provides comprehensive training in perioperative patient care, pain management and critical care medicine. We pride ourselves in training expert clinicians who are independent and confident when they graduate from our program. Our goal is to provide outstanding care to our patients by integrating education, evidence-based medicine, and research in daily patient care. Our board-certified faculty paired with the school's high-tech simulation lab to provide an immersive learning experience. We believe in encouraging open feedback, new ideas, and innovations that lead to efficient clinical care and build strong relationships with our faculty and staff.
Job Summary
The Residency Program Specialist plays a vital role in the daily administration and operational support of the Anesthesia residency and fellowship training programs. Working closely with the Associate Program Directors (APDs), Program Director (PD), and Residency Coordinator 2. The Residency Program Specialist contributes to the overall quality of graduate medical education by supporting compliance with ACGME accreditation standards, the National Residency Matching Program (NRMP), institutional and GME policies, and other regulatory requirements. The Residency Program Specialist serves as a key liaison among program leadership, residents/fellows, faculty, the GME Office, affiliated training sites, and institutional departments. This position requires a thorough understanding of compliance and regulatory expectations across all participating training sites.
Responsibilities
Responsibilities to include, but are not limited to:
SUPPORT OF PROGRAM COORDINATOR
Organizes and facilitates annual meetings, including Clinical Competency Committee (CCC), Program Evaluation Committee (PEC), Faculty development sessions.
Supports preparation for the Annual Program Evaluation, including agenda creation, data collection, minute-taking, and follow-up on action plans.
Tracks post-graduate surveys and compiles relevant data summaries.
Maintains up-to-date Program Letters of Agreement (PLAs) for each participating site as required by ACGME.
Assists with the annual review and revision of program policies and ensures compliance and dissemination.
Inputs procedures into e-Priv as certified by the Program Director.
Coordinates the scheduling and oversight of in-training exams.
Manages the distribution and tracking of program support funds, including travel authorizations and expense reimbursements for 48 residents.
Processing educational expense requests.
RESIDENT MANAGEMENT SOFTWARE (NEW INNOVATIONS)
Maintains accurate rotation block schedules, clinic and call schedules.
Creates and updates evaluation forms and curricular goals
Tracks conference attendance
Monitors duty hour logging and compliance
Tracks evaluation completion rates and assists with evaluation data reporting
RECRUITMENT SUPPORT
Attends ERAS training webinars and processes residency applications
Manages logistical aspects of the recruitment season, including schedule applicant interviews, prepare documentation and maintain compliance with ACGME requirements, coordinate communication and gather interview feedback, and assist with preparation for rank list meetings.
ONBOARDING & ORIENTATION
Prepares training files and welcome packets for incoming residents/fellows.
Coordinates equipment and materials such as lab coats and textbooks.
Develop orientation schedules, training sessions, and social events.
Trains residents, fellows, and faculty on the use of New Innovations.
Sets up credentialing information in New Innovations onboarding modules.
GRADUATION & PROGRAM COMPLETION
Coordinates planning and execution of the annual graduation event
Tracks GME exit survey completion
Submits Certificate of Completion requests to the GME Office
Verifies board eligibility in accordance with ACGME requirements
Ensures collection of all end-of-training documentation including final evaluations, procedure logs, equipment returns, and letters of completion.
Facilitates training verification requests for alumni.
OTHER
Perform other related duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university in a related field with two years of directly related experience in an educational program.
OR
High School Diploma/GED from a recognized State or Federal accrediting organization with five years of directly related experience in an educational program.
Knowledge, Skills, & Abilities
Proficient in Microsoft Office and other computer software/databases.
SKILLS
Excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to maintain confidentiality.
Shift/Salary/Benefits
Shift: Days; Monday - Friday (Work outside of normal business hours may be required).
Salary Range: $17.88-$21.92 per hour.
Pay Band: B5
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
