Job Description

Provide advising to graduate students, working with them on creating and completing their course of study and resolving course scheduling issues; manage the application process; provide administrative support for graduate and undergraduate program directors in the department.

The Department of Counseling Psychology, Social Psychology and Counseling invites applications for a Graduate Admissions Coordinator.

Provide advising to graduate students, working with them on creating and completing their course of study and resolving course scheduling issues; manage the application process; provide administrative support for graduate and undergraduate program directors in the department.

Minimum Education:

Associate’s degree or:
1. An equivalent combination of two years of education and related experience in office administration / secretarial work or related field OR
2. Two years of related experience in office administration / secretarial work, or related field.

Minimum Experience:

One year of office administration/secretarial or related experience.

Preferred Experience:

Experience with database creation and maintenance. Microsoft Office and related software.

Duties and Responsibilities:

  • Meet with all incoming graduate students to advise on their program plan of study; work with students on course scheduling issues and assist with any problems or questions. Maintain current and alumni student files; maintain and submit graduation check sheets to the Graduate School for students who have applied to graduate.
  • Create and maintain database for graduate and doctoral programs and certificate programs; mail or e-mail information packets to prospective students; arrange campus/department visits with prospective students; monitor informational e-mail accounts assigned to the Department (CPSY, CPSYGRAD, CPSYDOC); prepare and send status letters to applicants, Graduate School; work closely with program directors, Graduate Studies Committee, Graduate School and Rinker Center for International Programs. Participate in outreach and recruitment activities as assigned.
  • Manage applications from the Graduate School and prepare applicant files for the doctoral program; collect required materials from applicants; create and maintain electronic files for applicants; generate Spreadsheet with all applicants’ information for faculty decision-making; send acceptance and denial letters to applicants and communicate the decisions to the Graduate School; assist with doctoral interview day.
  • Manage applications from the Graduate School and prepare applicant files for the master’s programs; collect required materials from applicants; create and maintain electronic files for applicants; generate Spreadsheet with all applicants’ information for faculty decision-making; send acceptance and denial letters to applicants and communicate the decisions to the Graduate School.
  • Assist with master’s internship applications and documentation of master’s internship placements; manage internship course assignments and documentation of MA internship evaluations; collect practicum applications and work with the Practicum Clinic Coordinator on assigning course sections; collect evaluation documentation for doctoral internships and doctoral practica; collect all student evaluations and clinic logs for student files.
  • In absence of student employee, answer department phones; take messages; process all mail and overnight packages; check-in and track deliveries to department.
  • Assist in creating and maintaining APA and other external accreditation reports, and College reports, via data collection using Argos and other university systems; assist in inputting data into currently used data tracking system; schedule the Content Exam for the Clinical Mental Health students; assist with the master’s program exit survey and other surveys as needed.
  • Assist Administrative Coordinator with assignments as needed; provide back up in the absence of the Administrative Coordinator including granting permissions, report and track orders for computer problems, department repairs, furniture moves, painting, etc.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
  • Supervision of the Graduate Assistants and Doctoral Program Assistant; train, assign and review work on projects that are assigned to the CPSY office.
  • Update the CPSY website as needed using current monitoring system; monitor CPSY social media (e.g,. LinkedIn, Twitter; Instagram); manage postings to Communications Center; oversee university catalog changes using current system
  • Organize the master’s Open House or informational meetings, assist with the annual masters Orientation Meeting.
